Welcome to Soliqo (“Soliqo,” “we,” “our,” or “us”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application (the “App”) available on Android and iOS platforms, and any related services.
By using the App, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with this Privacy Policy, you should not use the App.
This Privacy Policy is intended to be compliant with applicable data protection laws, including the General Data Protection Regulation (GDPR) and the data protection laws of the Czech Republic.
2. Information We Collect
2.1 Account Information
When you create an account or sign in using third-party authentication providers, we collect:
- Email address — used for account identification, login, and communication.
- Display name — your name as provided by the authentication provider.
- Profile photo URL — if provided by the authentication provider.
- Unique user identifier — for example, a Firebase UID used to identify your account.
2.2 Audio Content
To provide our transcription and summarization services, we collect:
- Audio recordings — recorded directly in the App or imported from your device.
- Audio metadata — such as file name, duration, language preference, and upload timestamp.
2.3 Usage Data
We automatically collect certain information about how you use the App, including:
- Service usage — number of audios processed, minutes transcribed, transcription history.
- Feature interactions — recording starts and stops, uploads, translations requested, notes created or shared.
- Session information — app open/close events, session duration.
- Subscription status — your subscription tier and billing status (we do not receive or store your full payment card details, which are processed by the respective app store).
2.4 Device Information
We may collect device-specific information, such as:
- Device type and model.
- Operating system and version.
- Unique device identifiers (for example, advertising or analytics identifiers where permitted by law).
- Language and region settings.
2.5 Permissions
The App may request the following permissions on your device:
- Microphone — required for recording audio within the App.
- Internet — required to upload audio for processing and to sync your data.
- Storage — to access audio files you choose to import (on supported devices).
You can manage these permissions in your device settings. Limiting certain permissions may affect the functionality of the App.
2.6 Data Controller and Data Processor Roles
For most personal data associated with your account (such as your email address, subscription information, and general usage data), Soliqo acts as an independent data controller.
For audio recordings, transcriptions, summaries, and related content that you upload or create using the App, Soliqo generally acts as a data processor on behalf of you (or, where applicable, the organization you represent), which acts as the data controller. In this capacity, we process such data only on documented instructions and for the purposes of providing the App and related services.
3. How We Use Your Information
3.1 Service Provision
We use your information to:
- Process your audio recordings into text transcriptions, summaries, and notes.
- Provide translation or language-related features for your transcribed content (where available).
- Store and sync your transcription history, summaries, and notes across devices.
- Manage your subscription, minute balance, and access to free or premium features.
3.2 Service Improvement
We use aggregated and, where possible, pseudonymised data to:
- Analyze usage patterns to improve the performance, stability, and usability of the App.
- Identify and fix bugs, crashes, and technical issues.
- Develop, test, and evaluate new features and functionality.
3.3 Communication
We use your contact information to:
- Send service-related notifications (for example, when a transcription is completed or when your subscription is about to renew or expire, where applicable).
- Respond to your inquiries, feedback, or support requests.
- Notify you about important changes to our service, security updates, or this Privacy Policy.
Where permitted by law, we may send you limited product-related information or surveys; you can opt out of such communications at any time.
3.4 Security and Fraud Prevention
We use your information to:
- Protect against unauthorized access, misuse, or abuse of your account and our systems.
- Monitor for suspicious activity and enforce our Terms of Service and Acceptable Use Policy.
- Verify subscription and in-app purchase transactions with the respective app stores and payment providers.
3.5 Legal Bases for Processing (GDPR / EEA Users)
If you are located in the European Economic Area (EEA), the United Kingdom, or Switzerland, we process your personal data on the following legal bases:
- Contract: To provide and operate the App and related services you request, including processing audio, generating transcriptions and summaries, and managing your account and subscriptions.
- Legitimate interests: To maintain and improve the App, prevent fraud and abuse, ensure security, understand how the App is used, and communicate with you about the service, provided that such interests are not overridden by your rights and interests.
- Consent: Where required by law, for certain analytics, marketing, or optional features. You may withdraw your consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal.
4. Data Storage and Security
4.1 Audio Processing and Retention
Your audio files are uploaded to our secure servers or those of our processing providers for transcription and summarization. After processing is complete, the original audio files are not stored permanently on our servers and are deleted within 24 hours after processing, except for limited, time-bound backups that are retained solely for security and continuity purposes and are automatically deleted according to our backup retention schedule.
Only the resulting text transcriptions, summaries, and related notes are retained as part of your account until you delete them or delete your account, as described in Section 7.
4.2 Security Measures
We implement appropriate technical and organizational measures to protect your data, including:
- Encryption of data in transit using HTTPS/TLS and encryption at rest where technically feasible.
- Use of trusted cloud infrastructure providers with robust security practices.
- Role-based access controls so that only authorized personnel can access personal data where necessary for their job duties.
- Logging and monitoring of access to systems that process personal data.
- Regular review of security controls and practices.
No method of transmission over the internet or method of electronic storage is completely secure; however, we strive to use commercially reasonable measures to protect your personal data.
4.3 Local Storage
Some data is stored locally on your device to enable offline access and improve performance, including recent transcription history, user preferences, and configuration. This data is stored in the app’s secure storage area and can typically be removed by uninstalling the App or clearing the App’s data from your device settings.
4.4 International Data Transfers
Some of our service providers, including cloud hosting, analytics, and AI processing providers, may process your personal data outside the Czech Republic and the European Economic Area. Where we transfer personal data to countries that do not provide an adequate level of data protection according to applicable law, we implement appropriate safeguards, such as standard contractual clauses approved by the European Commission or equivalent legal mechanisms.
5. Third-Party Services
We use trusted third-party services to operate and improve our App. These providers are contractually required to process personal data only on our instructions, to maintain appropriate security, and not to use your personal data for their own purposes (such as training general-purpose models), unless explicitly allowed by you or required by law.
5.1 Firebase (Google)
We use Google Firebase for:
- Authentication — secure sign-in with providers such as Google and Apple.
- Analytics — understanding app usage and performance.
- Crash reporting — detecting, analyzing, and fixing crashes and stability issues.
We configure Firebase to avoid sending prohibited categories of data and rely on appropriate data processing and transfer terms offered by Google, including standard contractual clauses where applicable.
5.2 App Stores and Payment Processors
We use Google Play Billing, Apple App Store, and similar platform services for subscriptions and in-app purchases. Payment card information is processed directly by these app stores or their payment providers; we do not receive or store your full payment card details. We may receive limited information about your purchases (for example, product, price, time, and status) to manage your subscription.
5.3 AI / Machine Learning Processing Services
We use automated speech recognition (ASR) and natural language processing (NLP) services, including third-party AI providers, to convert your audio into text and to generate summaries and notes.
5.4 Other Service Providers
We may engage additional providers for services such as customer support tools, email delivery, logging and monitoring, or analytics. These providers will only receive the minimum amount of data necessary to perform their services and are bound by confidentiality and data protection obligations.
6. Your Rights
Depending on your location, you may have the following rights regarding your personal data.
6.1 Access and Portability
You can access your transcription history and account information directly within the App. Where technically feasible, you can export your notes and transcriptions by using in-app sharing or export features. You may also contact us to request a copy of the personal data we hold about you.
6.2 Deletion
You can delete individual transcriptions, summaries, or notes within the App. To request complete deletion of your account and all associated personal data (subject to limited legal and technical retention obligations), you can use the in-app account deletion function where available, or contact us using the details in Section 10.
6.3 Correction
You can update your profile information (such as your display name or profile photo) through your authentication provider (for example, Google, Apple) or within the App where such edits are supported. If any of your personal data we hold is inaccurate or incomplete, you may request correction.
6.4 Opt-Out of Non-Essential Processing
You may opt out of certain non-essential analytics or tracking by adjusting your device or operating system settings (for example, ad tracking preferences) and, where available, via settings in the App. You may also contact us to inquire about available opt-out options.
6.5 GDPR Rights (European Users)
If you are located in the EEA, UK, or Switzerland, you may have additional rights under GDPR, including:
- Right to restriction of processing.
- Right to object to processing based on legitimate interests.
- Right to data portability (to receive your data in a structured, commonly used, machine-readable format).
- Right to lodge a complaint with a supervisory authority, such as the Czech Data Protection Authority (Úřad pro ochranu osobních údajů).
You can exercise your rights by contacting us using the details in Section 10. We will respond to your request within one month, or within any other period required by applicable law. We may ask you to provide information to verify your identity before responding to your request.
7. Data Retention
We retain your data as follows:
- Account data (such as email and identifiers): retained while your account is active and for a reasonable period thereafter (for example, to comply with legal obligations, resolve disputes, or enforce our agreements).
- Transcription history, summaries, and notes: retained until you delete individual items or your account, unless earlier deletion is required by law or requested by you.
- Audio files: temporarily stored for processing and deleted immediately after processing, except for limited security backups with fixed retention.
- Usage analytics and logs: retained in aggregate or pseudonymised form for as long as necessary for service improvement, security, and compliance purposes.
Upon account deletion, we will delete or anonymise your personal data within 30 days, except where longer retention is required or permitted by law (for example, for tax, accounting, or legal defence purposes).
8. Children’s Privacy
The App is not intended for use by children under the age of 13, or under the age of digital consent in your jurisdiction if higher. We do not knowingly collect personal information from children. If you believe we have inadvertently collected personal data from a child, please contact us so we can delete it as soon as reasonably possible.
If you are a parent or guardian and become aware that your child has used the App or provided personal data to us without your consent, please contact us using the details in Section 10.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we make material changes, we will:
- Post the updated Privacy Policy within the App or on our website.
- Update the “Last updated” date at the top of this document.
- Where required by law or reasonably appropriate, provide additional notice (for example, via in-app notification or email).
Your continued use of the App after the revised Privacy Policy becomes effective means that you accept the updated Policy. If you do not agree with the changes, you should stop using the App and may request deletion of your account and data.
